Your Story

In your role as the initial touchpoint for our patients, it is imperative that you possess a cheerful and self-assured demeanour. We're on the lookout for an individual who is not only courteous and empathetic but also possesses exceptional communication skills. As you welcome every visitor into the office with a friendly face and serve as the engaging, upbeat voice they hear over the phone, your organizational skills and ability to juggle multiple tasks will be put to the test. We pride ourselves on our positive team dynamic and are eager to find someone who can truly thrive within such an environment.

Your Power Skill Set

  • Required: High School Diploma. Preference will be given to those with a degree or diploma in a related field.
  • Beneficial: Prior experience in customer service.
  • Desired Skills: Organization, detail-orientation, and capacity to handle multiple tasks in a fast-paced setting.
  • Communication Skills: Must possess strong written and oral communication abilities.
  • Problem-Solving: Proficiency in problem-solving is essential.
  • Experience: Familiarity with Microsoft Office software.
  • Assets: Experience in electronic office management systems.
  • Preferred: Knowledge of point-of-sale systems and financial tracking.

Your Role in Our Adventure

  • Customer Service – As the initial point of contact you will be the first to develop relationships with our patients and you will help them to see the value of our team by providing them with the most professional assistance. You will be responsible for scheduling and confirming appointments by phone and email, greeting clients as they come into the office, answering client questions, and directing them to the appropriate person to solve any problems.
  • Appointments – Using our office management software you will manage all appointments and ensure that the hearing practitioners’ schedules are organized appropriately. You will be able to manage adjustments to schedules when changes must be made. You will be responsible for following up with any social media leads as well as regular follow-ups and booking of new appointments.
  • Clinic Cleanliness – You will be responsible for making sure that the main reception and waiting area is always kept tidy and you will sanitize all high-touch surfaces and seating regularly.
  • Clinic Supplies – You will oversee the monitoring and management of essential office and clinic supplies, placing orders as needed.
  • Administrative Support – You will help the hearing practitioners by creating client files, organizing files for appointments as well as assisting with shipping and receiving as necessary.
  • Accounting and Financial Duties – You will manage the processing of all sales, entering them into the office management system, and track the balances of all aged receivables and third-party insurance payments. Your responsibilities will also include handling daily banking duties with point-of-sale machines, regular reporting for bank deposits as needed, and overseeing submissions and tracking of third-party insurance claims.

Your Must-Haves

  • Audiology or Hearing Instrument Specialist Diploma from an AHIP or CASLPO approved institution in Canada
  • Member in good standing with AHIP or CASLPO
  • Registered Authorizer with ADP
  • Cerumen Management Certification
